We are looking for an Administrative Coordinator to join our team in Cottonwood, Arizona. In this contract to hire role, you will provide essential support to various managers across departments, ensuring smooth administrative operations. This position offers a dynamic work environment with varied daily responsibilities.
Responsibilities:
- Collaborate with department managers, including Bar Manager and Catering Manager, to address their administrative needs effectively.
- Manage incoming calls and provide clear and effective communication with internal and external stakeholders.
- Coordinate calendars and schedules to optimize team efficiency and prevent conflicts.
- Assist with budgeting processes and financial tracking to support departmental goals.
- Utilize tools such as ADP, CRM systems, and Concur for streamlined administrative processes.
- Organize and participate in virtual meetings using platforms like Cisco Webex.
- Oversee banner ad campaigns and ensure timely updates and accuracy.
- Maintain organized records and documentation to ensure compliance and accessibility.
- Support communication efforts by drafting and proofreading documents with strong grammar and writing skills.
- Adapt to changing priorities and tasks to meet the dynamic needs of the organization.
Requirements
- Restaurant experience is required
- Proven experience in administrative roles, showcasing strong organizational and multitasking abilities.
- Proficiency in ADP, Concur, CRM systems, and other relevant software tools.
- Familiarity with virtual meeting platforms such as Cisco Webex Meetings.
- Strong written and verbal communication skills, including excellent grammar and attention to detail.
- Ability to manage calendars and schedules efficiently to support team operations.
- Knowledge of budgeting processes and financial tracking.
- Experience in handling inbound calls and maintaining professionalism in all interactions.
- Flexibility to adapt to varied daily responsibilities and dynamic work environments.
